This page compiles answers to frequently asked questions about the programme, application process, materials and reporting of the Year of Research-Based Knowledge.

Applying

When is the deadline for applications to the official programme of the year?

There is no deadline. In terms of the application process, the deadline is ongoing.

How long before the event should the application be submitted?

The application should be sent as soon as the basic details of the event, such as the title, time, method of implementation and content, have been confirmed. The information may be supplemented and specified before the event by informing the coordinating communications specialist by email at elisa.lautala(at)aka.fi.

The application must be submitted no later than three weeks before the event to allow sufficient time to process the application. The earlier the event or action is accepted to the programme, the sooner we can start the communications cooperation.

How quickly can I expect to get an answer to my application?

The chairs of the Steering Group will process the applications once a week, so typically applicants will receive a response within two weeks of sending the application. Please note, however, that we may request further details before we process the application. In this case, the processing may take longer.

What kinds of things are applicants usually asked to specify in the application?

Most often, the issues to be specified relate to how the event or action matches the objectives of the year, such as how research-based knowledge and reliable sources of information are reflected in the implementation of the event or action, or how the event or action promotes awareness of research-based knowledge and supports the objectives of the year. It is therefore a good idea to make these points clear in the application.

Programme and events calendar

What are the events and actions of the Year of Research-Based Knowledge?

The events and actions may, for example, be online or on-site events that raise awareness of research-based knowledge:

  • seminars, conferences, webinars, lectures, discussions, lecture and debate series
  • campaigns, activities
  • blogs, video series, podcasts
  • science education lessons, science camps, virtual workshops or researcher visits to schools
  • exhibitions, works, visualisations
  • magazines, publications, newsletters
  • accounts or campaigns on social media.

In addition to these, we are interested in new initiatives.

Can I apply with several events or actions?

Yes. The number of events and actions per organiser is not limited. You can submit several events and actions that meet the criteria set for the year’s programme. Each event or action should have a separate application, unless it is a series, for example a webinar series.

Must I submit a separate application for each lecture or webinar?

Each event or action should have a separate application. If the event is a series of lectures, webinars, etc., you may submit a single application for the whole series.

How do I apply with a multilingual event?

In the case of English, Finnish and Swedish, you can either complete the application in all languages separately or fill in the form once and give a title and a brief description of the event or action in all languages. The other fields may be filled in one language.

Logos and other material

Can I use the official logo on our website?

At the application stage, the partners organising events and actions undertake to use the year’s logo to communicate their events or actions approved into the official programme. Partners cannot use the logo in the communication of their other events or actions or in their general communications.

The organisers of the Year of Research-Based Knowledge, that is, the Ministry of Education, Science and Culture, the Academy of Finland and the Federation of Finnish Learned Societies, and the members of their decision-making bodies and the members of the network of the year, also use the logo in their other communications.

Where can I find the official logos?

The organisers of the events and actions will receive the links to the materials of the year by email, at the same time as their events or actions are accepted to the programme. The network members have received the links with the materials for the network meetings. The links are also available in the newsletters sent to the network and the partners with an interval of approximately two months.

Is the logo available in English and Swedish?

Yes. The organisers of the events and actions will receive the links to the materials of the year by email, at the same time as their events or actions are accepted to the programme. The network members have received the links with the materials for the network meetings. What other visual materials are available?

At present, our materials include official backgrounds for video meetings, PowerPoint templates, a short visual presentation, a printable poster and an advertisement. The materials will be complemented, and all materials will be available in the communication of events and actions approved to the official programme of the year.

Reporting

What should be reported on the events and actions?

The report form for the Year of Research-Based knowledge contains questions about the implementation, success, reach, visibility, inclusion, continuity and feedback of your events or actions. We also ask for your feedback on participation in the year and development suggestions.

Most of the questions in the form are multiple-choice questions, and we hope that you will also provide short answers to the open-ended questions.

Where can I find the reporting form?

You have received a link to the reporting form either in the letter of approval to the programme or in a separate email. In addition, the link is in the newsletter sent to the partners every two months.

When should the report be submitted?

Please submit the report as soon as possible after your events or actions have ended. For events and actions that continue throughout the year, please submit the report in December 2021 or by 10 January 2022 at the latest.
